New Conference and Event Services Guidelines

Cal Poly Humboldt Campus Community,

In an effort to improve services to campus, the Conference & Event Services (CES) office was created in Spring 2021. As a newly developed department, the University Space & Facilities Advisory Committee via the Facilities Use Sub-committee and campus stakeholders worked diligently redefining protocols and procedures during the 2021-2022 academic year pertaining to campus events and use of space. The strategic goals were to properly evaluate and create a more accessible and equitable reservations process to increase access to various locations on campus, enhance communication between service providers, and combine event management to maximize efficiency via consolidated and streamlined processes. 

Today marks the launch of Cal Poly Humboldt’s new Conference and Event Services guidelines which include protocols around Space Categories, Priorities and Tier Reservation Timing, as well as an updated pricing structure for use of campus facilities. Tier Reservation Timing is intended to allow events that fall under each tier of priority to have equitable access to those spaces. 

The CES team is tasked to work with campus stakeholders and community partners as the transition to using these new official guidelines for space reservations and events begins. As part of the implementation process, CES has now launched our new event request system through Lumberjack Link to assist with management of campus events. This will eliminate the need for users to submit additional forms, such as the Facilities Management Event Request Form, or to connect with other campus service providers, such as the Cashiers office. 

CES will be providing optional training and workshops on the Lumberjack Link Event Request form and the new event guidelines to ensure a smooth transition to the new process. The CES guidelines are adaptive and will be frequently reviewed to enhance services. Patience and flexibility is appreciated as the team works through these new guidelines and implementation of new protocols while continuing to support our campus community.

Any additional questions about events may be sent to the CES team at ces@humboldt.edu. CES is also hosting open Zoom drop-in sessions beginning July 1, 2022 from 9:00am - 12:00pm.

These open drop-in sessions are intended to provide one-on-one assistance in submitting an event request using Lumberjack Link or making a room reservation request in 25 Live. This campus centralization of events and conference services is major progress toward improving the ease and efficiency for our campus event and reservation structure.
