Revised Hospitality Policy
Dear Campus Partners,
The California State University (CSU) system has issued a revised Hospitality Policy, now in effect and superseding previous campus-specific policies. These updates standardize procedures across all CSU universities.

Summary of Key Changes
Defined Roles and Responsibilities
Clarifies responsibilities for individuals involved in hospitality-related transactions and approvals.
Expanded Guidance on Event Approvals
Includes clarification for larger-scale hospitality events (10 or more attendees), including situations where the approving authority attends as an incidental participant and receives no personal benefit, provided Delegation of Authority requirements are met.
Maximum Per-Person Meal Rates
Unless otherwise approved by the University CFO or designee, the following limits apply per attendee (inclusive of all costs):
Breakfast: $40
Lunch: $60
Dinner: $90
Light Refreshments: $40
Alcohol (auxiliary organizations only): $30
We also want to remind campus partners to carefully review the policy’s guidelines on allowable expenses prior to submitting requests. Recently, we have seen an uptick in unallowable expenses being submitted, including items such as “office snacks,” which are not permitted under the hospitality policy.
Note: SPF-funded hospitality requests follow their own established processes. For support with Sponsored Programs Foundation activities, SPF offers Drop-In Zoom Hours every weekday from 2:00–3:00 p.m.
