As many of you are aware, our campus is currently in the process of implementing the CSUBUY Procure-to-Pay (P2P) system. CSUBUY P2P will transform the way we do business with our vendors – from the procurement of goods and services to the payment of invoices. When complete, the CSUBUY P2P initiative will enable new processes and tools to automate the ordering of goods and services, confirmation of the receipt of those goods and services, and the review and payment of vendor invoices. It will increase the visibility of our spending at a product and vendor level, enabling our operations and finance teams to make better informed decisions on a daily basis. This initiative is a priority for our entire executive leadership team. And with that, we wanted to provide an overview of key dates for activities leading up to Go-Live of the CSUBUY P2P system.

Key Activities and Timing:


1. Testing: (August 23, 2024 – October 8, 2024)

 User Acceptance Testing (UAT) will be conducted prior to our campus Go-Live to ensure the configuration in CSUBUY meets the needs of your campus. Identified campus team members are participating in the UAT testing.


2. Training: (October 9, 2024 - November 14, 2024)

A robust training plan for the different user groups within the CSUBUY P2P system will be implemented to equip users with the knowledge and skills required to effectively use CSUBUY. Training sessions will be conducted, focusing on both technical aspects and process changes, tailored to your specific user group and job roles on your campus. The training will be completed by instructor-led training, virtual training, videos, quick reference guides (QRGs) and frequently asked questions (FAQs).


3. Go-Live: (November 15, 2024)

CSUBUY P2P will be live! Campus users will begin using CSUBUY in daily operations and experience all the system has to offer.

As we continue this journey to implement the CSUBUY P2P system, please look for additional communications to be sent over the coming months, providing you with important information relating to this initiative.
