SPF Update: New Hiring/Appointment Process & Training Opportunities Available

Our new KRONOS HR system is set to go live this month!

It is now time to begin campus-wide training for Principal Investigator’s and their support staff. We will have open/drop in training opportunities available every Tuesday through Friday between 9:30am-10:45am and 1:00pm-2:30pm. It’s important that all SPF PI’s and/or Supervisors complete training prior to submitting new appointments through KRONOS HR.

 

What do I need to do when the system goes live?

  • Starting in August, you will see a new/updated dashboard with additional options. PI’s and delegated ‘timekeepers’ will be able to submit appointment changes and initiate new hires for future pay periods.

  • SPF will continue to accept traditional paper appointment packets which we will slowly phase out over the next few weeks. Any future submissions can be completed in KRONOS.

 

What if I can’t see or access the system?

  • Once you have completed your training, if you have any difficulty submitting/approving your new hires or appointment changes, contact the SPF Front Office immediately at (707) 826-4189.

 

How does this change affect the “Timekeeper” role?

  • For all new & current employees, hiring paperwork should be initiated by the Principal Investigator (PI) or their delegated "Timekeeper(s)." By submitting this form, a PI may now authorize any individual to submit HR Actions through KRONOS on their behalf, for all projects under their supervision as the listed PI. 
  • As a Timekeeper, you can still review timesheets submitted and assist PI's with payroll review. By granting this new delegation of authority, a SPF Timekeeper will now also be authorized to initiate new employee hiring, pay changes, category/time base adjustments, and separation/termination paperwork on the PI's behalf. Timekeepers will not be able to submit HR Actions for themselves, and the PI will still be expected to submit HR Actions in those situations. 
  • All new Timekeepers should review the current HSU SPF payroll schedule and will be expected to attend an initial training with the SPF Front Office (FO) staff prior to submitting their first HR Action.
